So the planning happens early, the contingencies get discussed out loud, and nothing important gets left to the day itself.
The date is the only hard constraint
Permanent work can slip a week. An event date is fixed. The lead time is not proportional to the size of the display. A small display still requires the same sequence as a big one.
Power is where outdoor events go wrong
The most common outdoor event problem is power, not aesthetics. Where the power comes from, how far it has to travel, and how the cable is managed are questions worth settling early. A beautiful plan with no way to power it is a drawing.And whoever is handling the lighting should be told what else is happening in the space, because a band, a caterer and a photographer all have requirements that touch the same square footage.
The contingency conversation
Outdoor events in the Upstate can meet weather. Ask early: what the contingency looks like. Having an answer already agreed means the day is manageable either way.
Priorities
Two categories: mood and function. The photographed parts are the string lights, the focal point, the backdrop. The functional parts are the path from the parking to the venue, the steps, the entrance and the way to the restrooms. Both need to be in the plan. Only one of them gets remembered fondly.
Working with the site
If the event is not at your own house, the property has its own requirements. When you can get in, what you can fasten to, and when it all has to come out are not yours to make. Introduce them before the week of. It is free and it prevents the most.
Scale
